Canceling a Student’s Membership and CTCFM if They Quit

We have developed an automation for when a student quits that automatically notifies GracieUniversity.com with the student’s information, removes them from the CTC’s CTCFM roster, and revokes their online course access (returning them to a free student profile. They will retain any purchased content).

To trigger the Spark Membership + CTCFM cancellation automation, you must have the student fill out one of two forms that are pre-loaded into spark for you:

1. 60-Day Notice of Membership Cancellation

This form triggers a 60-day automation that:

  1. Sends a confirmation email to the student.
  2. Sends a reminder email on day 55.
  3. Sends a cancellation confirmation email on day 60
  4. On day 60, the student’s contact type is automatically changed to “Former Student” and their memberships and auto-billing are automatically canceled.
  5. On day 61, their online course access is revoked and they are removed from the CTCFM roster.

2. Immediate Membership Cancellation

This form triggers an automation that:

  1. Sends a confirmation email to the student.
  2. Immediately changes the student’s contact type is to “Former Student” and their memberships and auto-billing are automatically canceled.
  3. Their online course access is revoked and they are removed from the CTCFM roster.

To manually cancel a single membership or manually change a student to a “Former Student” without triggering the CTCFM automation, see this article.
